Which report to use

Help centre · Reports

The index of everything the shop can tell you. Each report answers a different question:

  • Sales — what did I take, over a date range? Revenue, orders, units, discounts, VAT, refunds and (with Cost tracking) margin.
  • Conversion funnel — where do shoppers drop off between putting something in a basket and paying? Also lists payments that were started and never finished.
  • VAT — Box 1, Box 6 and the margin-scheme part of Box 7 for a VAT period, from every sale and refund on every channel, with a CSV for your accountant. VAT on your purchases (Box 4) comes from your bookkeeping. Before you register, it tracks your 12-month turnover against the registration threshold.
  • Traffic — who visited, where they came from, what they looked at and what they searched for. Needs the Shop analytics feature.
  • Till sessions — the cash-up history for every till. Needs Point of sale.
  • Stock valuation — what the stock on hand is worth at cost, by game and type, valued by FIFO or by weighted average at the flick of a switch, with second-hand stock always at what each copy actually cost. Run it on the last day of your accounting year and hand the CSV to your accountant. Units with no recorded cost are counted and named, not silently valued at nothing. Needs Cost tracking.
  • Trade shows — every show in a tax year (6 April to 5 April): takings, what was bought in, costs, margin, net, the cash count and whether each show is in your books, with a CSV for your accountant. Needs Trade shows.
  • eBay sales — every card that sold through the eBay listings this shop made, with what you paid for it, when, who you bought it from, where it went, postage, refunds and its VAT treatment. Needs eBay channel.
  • Stock book — every second-hand purchase with its numbered purchase invoice, the seller, and each lot's stock number, cost and whether it is in the pool or dealt with item by item, with the sale matched to each item over £500. Needs Cost tracking.

A trade show's sales are turnover like anything else. The Sales report counts them once the show is closed and posted to your books, and names a closed show that has not been posted, or that was set to stay out, at the top with its takings. The VAT report counts every show sale on the day it was made, posted or not, and labels the ones not yet in your books — a show kept off the books still counts for VAT when you are registered.

All of them are read-only, and all need the reports.view permission.
